Ronde

Volunteer coordination

Thirty minutes on Saturday morning with the volunteers: what was done, the next missions and what's missing.

  • Every week, 30 min
  • 2 min to speak, each

Free. Your first meeting starts from this template, and everything stays editable.

Who it’s for

Food banks, sports clubs, community gardens, festivals: any volunteer group that coordinates once a week.

Why this format

  • Everyone knows the planThe next missions are a checklist, so nothing gets done twice or forgotten.
  • Needs are visibleMissing equipment, supplies or hands are listed, and the right people can answer.
  • Thanks matterThanks and birthdays brighten the meeting: people come for the cause and stay for the team.

What everyone prepares

Before the meeting, each person fills in their check-in in a few minutes, from a computer or a phone. Here is one, as it looks in Ronde.

What we did

  • Collected 340 kg of food at the supermarket
  • Fixed the cold room door

Next missions

  • Saturday distribution: six volunteers
  • Drive the van to the depot on Tuesday
  • Sort the winter clothes

What we need

  • Two drivers
  • Boxes for the clothes

How a session runs

  1. IntroEveryone joins, in the room or on the call: the screen shows who is here and what is on the agenda.
  2. Round table2 min eachEach person in turn shares their check-in, with a timer; the others raise a hand, react or say thanks.
  3. Open topicsThe subjects raised along the way, with the decisions taken and the follow-up actions.
  4. Wrap-upThe minutes are ready: decisions, actions and their owners, everyone’s check-in.

Ready with this template

Each meeting turns modules on or off as it likes; these come switched on.

  • Meeting usefulnessAt the wrap-up, everyone rates how useful the meeting was, from 1 to 5, anonymously; the average is tracked in the stats.
  • Reactions and signalsEmoji reactions and signals (too long, louder…) flying across every screen.
  • Raised hands and questionsRaise a hand or ask a question during a turn: a questions step follows that turn.
  • KudosThank a teammate during the meeting; kudos show on every screen and in the minutes.
  • BirthdaysThe waiting screen celebrates the birthdays of the week (day and month only).
  • TimeboxA topic of its own on the agenda, with its own duration and its notes in the minutes.
  • Decision logEvery “Decision:” line of the notes, from every session, in one searchable list open to the whole team.

Tips to run it well

  • Share the meeting link with volunteers who can't come: they follow on their phone and add their check-in.
  • Keep missions short and concrete, and say out loud the ones nobody has taken yet.
